Digital File Submission Instructions
(Draft Instructions – For advanced
users only)
I. OVERVIEW
Customers may submit digital files for output on our B&W and color
systems. Installation of a printer driver as noted in the following text
is required. Customer needs to review entire document and all submission
instructions.
Digital copying is appropriate for:
- Customers who wish to regularly submit the
same type of job
- Customers who are using graphics, pictures, or clip art with screens
- Customers who are buying in bulk
Digital copying is generally not appropriate for:
- Customers with one-time output needs;
- Customers with limited computer experience;
- Customers with tight deadlines for their first project.
Please realize that while setting up a printer
driver correctly is not an overwhelming task, it does take time. And often
it requires more than one trip to our store for you to get everything
tested and set up correctly. It is probably not something worth your time
if you are only going to use the service one time. It is also not recommended
for those running up against tight deadlines!
Here is a general overview of how using our digital file submission
services works:
You install the proper printer drivers as described in Section II.
You configure your printer driver as noted in Section III.
You review the submission requirements as noted in Section IV.
Once you have completed the steps above you will be able to generate and
submit postscript files for direct output to our B&W and COLOR printers
and realize tremendous savings over direct printing rates from application
files.
II. Installing a B&W Postscript Printer Driver
To create POSTSCRIPT files the installation of an
appropriate printer driver is required. This procedure will require you
to have administrative privileges on your computer, a Windows disk, as
well as a moderate knowledge of computers. We offer both B&W and COLOR
postscript output. You will need to install the appropriate printer driver
(color or B&W) for the work you wish to do. Please review the entire
procedure before beginning.
Below is an outline of the procedure required
to install a printer driver. Please note that the order of the questions,
as well as the exact verbiage, will vary depending on which Windows platform
you are using.
1. Click START->SETTINGS->PRINTERS
to open your printers window.
2. Double click on the ADD PRINTER wizard.
3. Click NEXT to start the wizard.
4. Select LOCAL PRINTER and turn off ‘Automatically
detect and install my plug and play printer.’
5. In the SELECT PRINTER PORT section scroll to the bottom
and select FILE.
6. Specifying the printer driver can be done in one of
two ways. You can download the printer driver from Xerox’s web site*,
or you can install from your Windows disk. If
you are using a Windows disk, scroll through MANUFACTURERS and select
Xerox. A list of Xerox printers is displayed.
Scroll through the list and find a printer driver that contains each of
the following in the name:
1. DT or DocuTech;
2. 6135
3. PS [or version number (02.01.04)].
This assures you of getting a driver compatible
with our DocuTech 6135 Publishing system using the POSTSCRIPT (PS) language
for job submission.
7. The remaining steps involve giving
your printer a name (leave at default name or call it MrCopy B&W),
sharing (do not share), and printing a test page
(do not print a test page). Click finish to end the procedure.
8. You will now need to configure your printer driver
with the proper font settings. Proceed to Section III, Configuring Your
Printer Driver.
*If your windows disk does not have the Xerox
6135 printer driver, or if you wish to obtain the latest driver, you can
go to the Xerox web site to obtain it. Use this procedure if your Windows
disk does not have the proper drivers.
1. Go to www.xerox.com.
2. Select DRIVERS.
3. Select the DOCUTECH family of printers.
4. Enter your OS version, DocuTech 6135 Publishing System, and English.
5. A list of drivers will be presented. Note that you do not need he entire
XDSS package (50 megs). The driver should be around 1 megabyte in size,
depending on your platform, with a name approximating PPD_inf.exe.
6. Download and unzip this file into a folder.
7. Run the ADD PRINTER wizard as noted above, and when you reach step
6 above click HAVE DISK and point to the folder. You may have to open
a few folders to find the correct file, as the downloaded package will
include many models and options. Be sure to point to the correct OS, the
correct printer (DOCUTECH 6135), and a POSTSCRIPT (PS) version of the
printer driver.
COLOR DRIVER:
Our color printer is a new model and it is unlikely the driver
will be included on your Windows disk. You will need to download it from
the web. Once you download it, follow the same instructions as noted above
for the B&W driver, substituting the color driver in step 6.
To download the printer driver:
1. Go to www.efi.com
2. Select SUPPORT -> DRIVERS -> XEROX -> X12
-> Version 1.5.
3. A list of drivers for various platforms is listed.
Select the POSTSCRIPT driver for your operating system.
4. Download and install the driver following the same
procedures given for the B&W driver.
5. When you have completed the installation of your new
printer driver, proceed to Section III for important configuration information.
III. Configuring Your Printer Driver
Whether you are using the B&W printer driver or the color printer
driver, you need to make some crucial adjustments before actually preparing
a file. This is a crucial step.
Overview:
The default configuration of a printer driver allows fonts to
be substituted. You DO NOT want this to happen. The result is a printed
document with many fonts printed in courier instead of the font you specified.
In this section you will find the settings that specify how fonts are
handled and configure the printer driver to download all fonts with each
print job. Once your printer driver is properly configured this will be
a transparent process. The fonts will be embedded within each print job,
and the printed piece will look exactly as it did on your computer. Failure
to make this adjustment will result in documents with some of the fonts
printing in courier (with improper letter spacing).
To configure your printer driver you need
to access the printer window.
1. If it is not still open, click START->SETTINGS-> PRINTERS
to open your printers window.
2. Locate the new printer driver and right click on it
once. Near the bottom of the list you will see PROPERTIES. Select Properties
and a window will open displaying the configuration
options for your printer driver.
3. Because each version of Windows presents this information
differently, and it also varies depending on which specific version of
the printer driver you have installed, we cannot provide you with an exact
path to the font information. Instead, we will provide
a general overview of the process.
4. You’ll need to browse through the various tabs
(including sub-windows and buttons) until you find the location for font-handling
information. The number of tabs and buttons is
fairly small, so it shouldn’t take long to browse through them until
you find the font information.
5. The item you need to change is the general font-handling
instructions, which initially is set to allow font substitution. You do
not want this setting. This needs to be changed
to DOWNLOAD AS SOFTFONT (the verbiage might vary based on platforms, but
the idea is that fonts will be downloaded
with the print job).
Again, depending on which specific driver you
downloaded and which operating system you are running, the location of
this setting will vary.
In Windows 2000 for example, when you open the PROPERTIES
WINDOW, you will see a button for PRINTING PREFERENCES on the opening
window. Click it and then in the next window click the ADVANCED button.
You will see the font handling procedure listed. Click on it and change
it to DOWNLOAD AS SOFTFONT. Click on the POSTSCRIPT if you want to specify
font download formats as OUTLINE (see next paragraph). Click OK on all
windows until the properties window closes. You are finished. If your
OS doesn’t present a PRINTING PREFERENCES button you should also
look for tabs that might say FONTS, POSTSCRIPT, QUALITY, etc… Font
settings are frequently accessed by selecting the ADVANCED button that
appears on various windows.
This is an optional step for advanced users only:
If you are a graphic design professional using very large typefaces, you
might also want to explore the font settings and find the options for
font formats. Outlines will, in general, print better. Look for the specifications
for downloadable font formats. In this section you will want to specify
that fonts be downloaded in outline format. In the Windows 2000 example
above you would find the OUTLINE specification in the POSTSCRIPT area.
IV. Testing and Job submission
Now that you have installed and configured your printer
driver, you will want to test it thoroughly before submitting an actual
production run. This step will ensure that you have configured font handling
correctly, and that the printer driver is working correctly.
Your test page should include a sampling of somewhere
between 5 and 10 fonts. Don’t use standard fonts such as Arial or
Times. Use something wild and unusual. Include a sentence in a 7-point
size for each font. Also include a few words or letters in an unusual
size, such as 51 or 79 points.
Optional items you might want to include, if you’ll
ever use them, are background screens, photos, clip art, and about any
other digital image you’ll use in future orders. Graphic designers
should consider preparing color matching charts or gray-scale charts for
future reference.
Once you have designed your test file you will select
PRINT from your application. Because you selected FILE as the PORT when
you set up your printer driver, instead of your document actually printing,
you will be prompted for a filename. Name your output file and save it
to your desktop (or other temporary storage area). This is the file you
will send to us. Be sure to name it according to the file-naming requirements
noted below. Your file is now ready to submit.
Submit TEST FILES to postscript@copysales.com with
the words TEST FILE in the subject line. Include any other information
or specifications required as noted in the submission guidelines below.
We offer each customer one free one free output for each printer driver
installed.
V. FILE-NAMING CONVENTIONS
Because we receive numerous files, and because your
file will be handled/processed by many different computer platforms and
operating systems, the proper naming of files is crucial. Your file name
should only be composed of numbers and letters (a-z, A-Z, 0-9). DO NOT
use any special characters or your file may be lost. If this happens,
the only solution will be for you to resubmit it with an appropriate name.
Your file name should begin with your phone number (no dash), or at the
very least the last four digits of your phone number.
VI. JOB SUBMISSION PROCEDURE
1. File names must meet specifications
above (alphanumeric characters only).
2. Files should be sent as an attachment to the email.
3. File names should be repeated in the body of the email.
4. Total size of the email should be limited to 10 megabytes.
5. Files may not be zipped, compressed or otherwise bundled
(zipped and compressed files are auto-deleted!)
6. You may attach multiple files to an email individually
(not zipped), provided the total size does not go over 10 megabytes per
email. If sending multiple 10-megabyte emails
please send them at 2-minute intervals.
7. For jobs where the file size is over 10 megabytes,
submit on disk or contact our support team for other options. Accepted
disk formats include: CD, 100 or 250 MEG ZIP.
To submit a job, send an email to postscript@copysales.com.
In the email you should also tell us about your job AND REPEAT THE FILE
NAME IN THE EMAIL BODY. For example, if sending a file called ‘3341515flyer’,
the body of your email might look like this: Attached is file 3341515flyer.
I would like 500 copies on blue 20# bond, printed two sides. I will be
in to proof tomorrow morning.
That’s all there is to it. When you arrive at
our shop we’ll give you a proof copy (when appropriate) and we can
go into production while-u-wait for most orders.
MISC. INFO:
APPLE MACINTOSH: Macintosh users
can also submit files. We are not, however, able to support the installation
of Macintosh drivers. Both web sites described in this brochure include
Macintosh versions of their respective printer drivers. Again, be sure
to download all fonts with the print job.
